New Enhancements

Role Finder/Mentor Finder

  • Role Finder and Mentor Finder functionality allows users to look for potential role matches based on their assessment history and then find people who meet a defined percentage to the role as potential mentors
  • Settings
    • Company Settings
      • Under Admin Functions > Configuration > Settings > Features Tab, there is a setting for ‘Use Role Predictor?’, which will enable the Role Predictor tab on the Individual Profile
      • Under Admin Functions > Configuration > Settings > Company Details Tab, there are two settings for defining the minimum competency match for mentors and defining whether being displayed as a mentor is an opt in process
    • Security Role Settings
      • Under Admin Functions > Security > Security Roles > Myself Tab > Individual Profile, there is a setting to view Role Predictor Tab. This gives access to the tab for any users assigned the security role.
      • Under Admin Functions > Security > Security Roles > Myself Tab > Self Service, there is a setting for Availability as a Mentor, which allows any user with the security assigned to nominate themselves as a potential mentor.
      • Under Admin Functions > Security > Security Roles > My Team Tab > Employee Profile, there is as setting to view Role Predictor Tab. This gives access to the tab on any user within the purview of someone assigned the security role.
      • Under Admin Functions > Security > Security Roles > My Team Tab > Self Service, there is a setting for Availability as a Mentor, which allows any user with the security role assigned to nominate users within their purview as a potential mentor.
    • Role Predictor Tab
      • Role predictor tab has 3 components:
        • Search filter percentage bar will default to 50%, but can be shifted higher or lower to display more or less roles based on matching percentage
        • Search filter bar will allow the search for roles based on competency, competency group, or competency role
        • Role Comparison Section will display any roles which meet the percentage and search criteria. They will be ordered from highest to lowest percentage match. In order to perform actions, click on one or many roles, and they will highlight, then from the actions selection, you can either view a role comparison or mentor finder.
          • Role Comparison
            • Role comparison will display competencies assigned to the roles, and will display a current vs expected visualization based on your assessments
          • Mentor Finder
            • Selecting Mentor Finder will display the selected roles with an additional User Filter component where you can further restrict the results based on many of the system filter components.
            • Selecting the Go button will run the mentor finder, and display the results per role selected, arranged by highest to lowest percentage. Can be contacted through a mail to component

Distinct Proficiency Scale Type

  • Created Proficiency Scale type where rating elements are not defined, instead, a proficiency level description is created and applied to all competencies associated with the proficiency scale.
  • First phase of this change includes the in system components for creation and assessments. In future releases we will include import capabilities as well.
  • Setup
    • Within Admin Functions > Configuration > Scales > Proficiency Scales, you either create a new Proficiency Scale, or edit an existing proficiency scale. **Note editing existing proficiency scales to change type will have an impact on assessments associated with proficiency scale.**
    • Within the proficiency scale creation/edit screen, the first option that appears is Proficiency Scale Type. There are two options, distinct and progressive. In order to ensure that no changes need to be made to the scales currently in use, they inherit the Progressive type, even while not distinctly displaying it.
    • Distinct Type, when selected, displays an additional scale item description under scale item name. This component is used to define the verbiage for each level used within competencies.
  • Competency Creation
    • When a new distinct type proficiency scale is associated with a competency group, the competency admin screen will replace the rating elements tab with proficiency descriptors. In this tab, instead of assigning rating elements to each proficiency level, you can visualize the description for the level, and have the option to override the description for the specific competency
  • Assessments
    • When conducting assessments tied to the distinct type proficiency scales, instead of seeing the checkboxes, radio buttons now appear. For these assessments, you select one level description only.

Logical Assessor Pool

  • The first phase of the Logical Assessor Pool capability will allow the creation of pools of assessors based on system filter components, define ‘Assessor’ competencies, and define proficiency expectation on competencies being assessed for assessors. This functionality will continue to be developed and improved to include further customization capabilities.
  • Creating Assessor Pool
    • Within Admin Functions > User Management > Rules > Assessor Matrix, create a new rule, or edit existing rule.
    • Steps 1-3 remain the same
    • Step 4 includes new option when selecting the ‘Performed By’. If you select Logical Assessor Pool, a new Step 5 appears.
    • Step 5 Components:
      • User Filter
        • The User Filter component allows the use of existing filter components to define a pool of assessors
      • Optional Assessor Competency Filter
        • The assessor competency filter component is an optional filter component used to define specific competencies and the required proficiency level that needs to be met before anyone is considered for the pool of assessors.
      • Competency Selection Proficiency/Status - [For Competency Selection in Step 3]
        • For this phase of the Logical Assessor Pool, this is not an optional step. In order to be allowed to be part of the pool, you need to meet a defined proficiency level for the competency you are assessing.
        • First selection is defining whether the requirement is for the assessor to be strictly competent, or defining whether only meeting a certain expectation is required.
        • Next selection will display all the proficiency scales used in the system, and you define the minimum required level that an assessor has to be at for the competency being assessed. In future development builds, this will be an optional selection and we will add logic to only display the proficiency levels that apply to the competencies defined in Step 3
      • The Assessor Matrix table view search filter will enable you to search for logical pools as an object and will allow visualization into potential assessors within the question mark icon.
      • Assessment Form Visualization
        • When an assessor pool is in use, the eligible assessors will be displayed within the Asses portion of the Assessment Actors section. Assessor Pools will work in conjunction with any other created assessor matrix rules, so it is possible to see assessors based on multiple rules

Select Assessor

  • Added the ability to define who will be the assessor.
  • Configuration
    • Within Admin Functions > Configuration > Workflows > WF Prof. Scales, when you edit an existing workflow proficiency scale configuration or configure a new one, there is a new section for Select Assessor. There are three possible options:
      • User - If user is defined, then the user has the ability to define who the assessor will be, based on a list of possible assessors.
      • User Relationship - when user relationship is selected in the list, a second list appears, to define the relationship. While the most common is supervisor, there are also options for peer and manager relationships, if created within the system.
      • Logical Assessor Pool - when selected, if a logical assessor pool is defined, then the assessor will nominate themselves as the assessor
    • Assessment Form
      • If select assessor is configured, the assessment form will display a dropdown list of possible assessor selections, which is actionable based on the configured option
      • Once an assessor is selected and the form submitted, then other potential assessors will not be able to action the form, only the selected assessor can submit the assessment.

Security Filter Updates

  • Made an update to the ‘Competency Role’ security filter creation. Previous state of filter creation required the selection of individual roles. We made changes to add filters based on either competency or user objects.
  • Within Admin Functions > Security > Security Filters, when you create a new security filter, and select the Competency Role Filter Type, there will now be three options to choose from:
    • User - Selecting this option will give user filter options, allowing you to create filter based on the roles assigned to people.
    • Competency - Selecting this option will display all roles assigned to a competency population.
    • Competency Role - Selecting this option will allow for individual selection of roles to add to the filter
  • There are now two preview buttons, one to preview the the objects from the filter, and the second to preview the roles derived from the selections.

Proficiency View Roll-Up %

  • In the previous deployment we included a new status matrix tools component for a proficiency visualization. In this release, we have added settings to define whether to display the object and if so, whether to see a roll up percentage vs raw count of rating elements.
  • Configuration
    • Within Admin Functions > Configuration > Settings > Company Details Tab, there is a component for Team Status Matrix with two selections:
      • Proficiency View Checkbox - when enabled, will display the proficiency selection in the status matrix tools, toggle details section.
      • Percentage vs. Raw Count toggle - Defaults to Percentage when proficiency view is enabled, which will display a roll up percentage view of proficiency based on number completed divided by total rating elements. If toggled to raw count, then will display the raw counts of number completed divided by total rating elements
    • In the Status Matrix tools, if the proficiency view is enabled, the toggle details section will display a proficiency button. When enabled, the status matrix will display the proficiency visualizations instead of status icons, and the roll up percentage or raw counts will display instead of the competent roll up percentages that are displayed when seeing status

User Competency Role Import Update

  • Made an update to the User Competency Role import, which allows for the definition of whether the role is being added or removed
  • New optional column on import file for Update Type, allows options of Add or Remove. If nothing is entered into column, the role will be added. When Remove is selected, assigned roles will be removed from users, unless they are rule based.

Translations: System Text Override

  • Added ability to override the standard system text displayed in the system for language localizations
  • Configuration
    • Within Admin Functions > Security > Security Roles > Administration Tab > Configuration > Other, there is a setting to access the Localization Static Text Override. Selecting this setting will give access to the admin screen to make changes to localization language translations
  • Admin Screen
    • Within left hand navigation, Admin Functions > Security > Security Roles > Administration Tab > Configuration > Other > Static Text Override, will display the admin screen.
    • Options to either use the front end editor or RESX file upload.
      • Front End Editor - when selected, your first option is to choose a language from the list, and press the Select Language Button. All the potential translation text will display, with search options based on the key, the system default text, or selected language. From here, you can search for specific words that you want to update the translation for. The selected language column has an edit button, which will allow for updating the text that will display for the language. Once completed, Save button will update your settings and apply to selected language.
      • RESX file upload - Selecting this option will allow you to download an xml coded RESX file based on the selected language. Using a text editor, you can update the file with any changes, save, and then upload the file to override the selected language.
    • View Company Overrides - Button in admin screen which will display all the languages that have be overridden with a date of changes, and gives the ability to remove any overrides and restore to default.

Questionnaire

  • Ability to add either multiple choice or free text questions into Kahuna, assign them to competencies or rating elements, and answer questions through the system or import
  • Settings:
    • Company Setting:
      • Under Admin Functions > Configuration > Settings > Features Tab, there is a ‘Use Questionnaire?’ checkbox which enables the use of the questionnaire tab within the system
      • Under Admin Functions > Configuration > Settings > Company Details Tab, there is a section for Questionnaire Lock Out, which allows the definition of max number of attempts at answering a question incorrectly before it locks out, preventing the user from making new attempts, and the Lock Out Time, the amount of hours before the lock out resets
    • Security Role Settings:
      • Under Admin Functions > Security > Security Roles > Myself Tab > Individual Profile, there is ‘Questionnaire Tab’ view selection checkbox which gives access to the questionnaire tab to users assigned the security role.
      • Under Admin Functions > Security > Security Roles > My Team Tab > Employee Profile, there is a ‘Questionnaire Tab’ view selection checkbox which gives access to the questionnaire tab within the individual profiles of users within your purview to users assigned the security role.
      • Under Admin Functions > Security > Security Roles > Administration Tab > Competency Library > Questionnaire Attributes, there are view, add, edit, and delete selections for Question Groups and Questions, this gives the user with the security role access to the left hand navigation links to both the Question Group and Question admin screens and Tree views
    • New Objects:
      • Question Groups
        • Left Hand Navigation: Admin Functions > Competency Library > Questionnaire Attributes > Question Groups
        • Admin table to create, edit, and delete question groups
      • Questions
        • Left Hand Navigation: Admin Functions > Competency Library > Questionnaire Attributes > Questions

      • Question Types
        • Multiple Choice
          • When creating the question, you define one or many correct answers. Multiple choice question types will be automatically marked correct/incorrect based on the selected answer.
        • Free Text
          • Free text questions require an assessor to validate the answer.
        • Locked Questions
          • Left Hand Navigation: Admin Functions > Competency Library > Questionnaire Attributes > Locked Questions
          • Admin table used to override any questions that have been locked by exceeding the max number of attempts
        • Tree View
          • From either the Question Group or Question Admin Page, access the Tree View through Page Actions drop-down
          • Ability to visualize Question Groups and Questions in hierarchical manner and add, edit, and delete both object types
        • Questionnaire Tab
          • When activated from the company settings and associated security roles, a questionnaire tab will appear in the individual profile which will house the questions assigned to the user. From the perspective of the assessor in the employee’s profile, you have the ability to view and add answers to the questions.
        • Assigning to Competencies
          • There are two methods to assign a question to a competency
            • Assessment Method
              • Designating the assessment method for a competency as Questionnaire, will change the rating elements tab within the competency admin screen to a Questions tab, where you can assign one or many questions to each proficiency level
            • Question Driven Rating Element
              • For General Assessment Method competencies, when generating the rating elements, there is setting to make a rating element question driven. By selecting this option, you will have the ability to add questions to a rating element.
            • Defining Assessors
              • When questions are created in the system, the Assessor Matrix Rules will include the option, under Step 3: Select Competency Population, to include questions. This allows control over defining who is the assessor for questions within the system.
            • Answering/Assessing Questions
              • Current state of the Questionnaire is Assessor Driven, in future deployments we will be including more configuration options to give more control over the options.
              • As an assessor, the Questionnaire Tab of Individual Profile for users in your purview will house assigned questions and their related information. You can answer questions on behalf of the user in this tab.
              • For Competencies with Question Driven Rating Elements, the assessment form will display any associated questions in read only format, with associated answers, when expanding the rating element and selecting the question tab. Under the comments section of the assessment form, there is an area for questions that will allow users to input answers to questions, and assessors to verify the free text answers.
            • Imports
              • Included imports for questionnaire functionality. Each import template has an associated help slide over within the import screen to visualize the field requirements.

Competency Update: Critical Flag

  • Included new competency attribute setting to enable a competency as critical. Critical indicator determines if Competency is to be flagged as business critical. Competencies marked as such will be indicated on the catalog with a special icon and customer has the ability to control visibility via Company Settings and Security Roles.
  • Settings
    • Within Admin Functions > Configuration > Settings > Features Tab, there is a setting option to display critical skills when assigned security function. This allows security roles with settings enabled to view critical indicated competencies either for themselves, their team, or from administrative functions
    • Within Admin Functions > Security > Security Roles > Myself Tab > Additional Competency Details, there is a setting for Critical Skills. Selecting this option will allow users with this security role to view any critical skills assigned to themselves
    • Within Admin Functions > Security > Security Roles > My Team Tab > Additional Competency Details, there is a setting for Critical Skills. Selecting this option will allow users with this security role to view any critical skills assigned to users within their purview.
    • Within Admin Functions > Security > Security Roles > Administration Tab > Competency Library > Competency Attributes, there is a setting for Critical Skills. Selecting this options will allow users with this security role to view critical skills within administrative functions.
  • Competency Creation
    • When creating a new competency within Admin Functions > Competency Library > Competencies, there is a new setting under Step 1.2 Competency Details for ‘Critical’.

 

Competency Import Update

  • Made updates to the Competency import template to include ‘Critical’ flag and ‘Competency Type’. Have also updated the header for Assessment Method to appear correctly.

Workbook Updates

  • Included ability to click on competency name within workbook to expand the rating elements all without having to open the Assessment form. You can select competency name again to collapse once reviewed or it will autocollapse once rating selection is made.
  • Included a popup warning message when submitting a workbook with zero ratings
  • Included the ability to visualize multi step Assessment workflow with Self Assessment and Assessor Assessment
  • Included ability to save Dashboard for Workbook- Individual and Workbook- Team
  • Settings
    • Within Admin Functions > Configuration > Settings > Features Tab, there is a setting option to display Workbooks when assigned security function.

User Admin Screen: Search Filter Updates

  • Have made updates to the search functionality on the User Admin screen to allow selection of the searchable attribute. This change is made to improve search performance, as it will only search for the selected attribute. Possible selections are Username, Personnel ID, First Name, Last Name, or Email.

Cached Reports: User & User Assessment History

  • To improve performance on the report generation screen we have updated the User and User Assessment History reports to be cached versions. A report job will run on a schedule, saving a version of the reports, and any users with access to generate the reports will have their filters applied to the cached version, to render their results.

Bug Fixes

  • Fixed performance issue when creating new competency assignment rule
  • Fixed issue where duplicate roles were displaying in system
