New Enhancements

Equivalency

    • Provides the ability to link rating elements, competencies, and learning through two different relationship types:
      • One Directional: one object type (x) will fulfill another (y), but not inversely
      • Bidirectional: one object type (x) will fulfill another (y) and vice versa (y fulfills x)
    • These relationships are managed through a mapping table found in Admin Function > Competency Library > Equivalency which is split into two sections
      • Create Equivalency Mapping: interface to create equivalency relationships
        • Object: allows selection of a competency, learning resource, or rating element type
          • Utilize the search bar underneath to identify the specific object
          • Note: If competency is selected as the object type, there will be an option to define the proficiency level equivalent, if left blank the system will utilize the level required to be competent
        • Equivalency: select between one directional (->) or bidirectional (<->) relationships
        • Related Object: allows selection of a competency, learning resource, or rating element type based on primary object selection
          • Note: Learning Resources and Rating Elements can only be associated to similar objects while competencies can be linked to other competencies or rating elements
        • Mapping Table: detailed list of all the created equivalency relationships within the system that can be deleted using the top left Page Action button or downloaded using the bottom right Download button
      • Within the Admin Function > Competency Library > Competencies > Competency Details, the equivalency mappings for competency relationships will be visible for reference
      • Navigating to Admin Function > Configuration > Settings > Features tab will allow to turn on and off the equivalence function for the company
        • Under Company Details tab and Equivalence Driven Elements having the enable checkbox on equivalence driving rating element option ticked off will allow users to select the rating element criteria on the assessment form, rather than restricting the tick boxes once a competency has been fulfilled via equivalence
        • To implement security for accessibility to equivalency mapping, navigate Admin Functions > Security > Security Roles > Administration tab > Equivalency
          • View - This setting gives you access to the Equivalency pane
          • Add - Ability to create an equivalency mapping
          • Delete - Ability to edit delete an equivalency mapping
        • On the front end within an assessment form an equivalent relationship will be denoted in:
          • Competency Details
          • Equivalency Icons on rating elements and learning resources
          • Equivalency tab in rating element and learning resource details
        • So long as object x (or y depending on the relationship type) is deemed as competent and follows equivalency logic, a user will be associated with a competent object y
          • On the Status Overview > All Assessments a user will have both x and y competencies as competent
          • On Individual Profile > Learning Resources a user will have both x and y learning resources as competent
          • Note: Rating element equivalency will be visible on the assessment forms themselves
        • This functionality allows clients to streamline assessments for users by cutting down on potential duplicate assessments, as organizations may have similar competencies and trainings that could equate to each other

    Development Competencies & Grace Period Enhancements

    • Competency Assignment Rule Import/Export updated to include Developmental Competency attributes
      • Is Development (Y/N), Grace Period (Numeric), and Grace Period Type (day, week, month, year)
    • Grace Period at the competency level (highest level of the grace period waterfall)
      • Previously grace period could only be defined on the competency role and user basis
      • Competency Imports and Exports have been updated to include grace period competency attributes
      • This functionality can be accessed in Admin Functions > Competency Library > Competency > Competency Details Step 1.3
        • Note: if developmental competencies are not active, this section will be hidden

    Shift Object

    • New standard system object being introduced to our data model, mimicking the standalone object with relationship to user nature of Job, Organization, and Location
      • Shifts will be composed of: Name, External ID, and Description
        • Individual shift import and export
      • Shift to User Relationship will be managed through
        • Optional column incorporated to user import and export
        • Admin Functions > User Management > User > Advance Details tab
          • User can be associated to multiple shifts to
        • As part of the standard, the shift object can be utilized as search criteria in standard filtering screens such as: team matrix, analytics, reporting, rules, and etc.
      • Security Role Settings - Navigate to Admin Functions > Security > Security Roles to edit existing security role.
        • Within the Administration tab, under Company section, there is a 'Shift' line with 4 settings View, Add, Edit and Delete
        • Within the Myself and My team tab, the shift View setting can be enabled to display to the front end

    Competency Role Mapping on Competency Level

    • Ability to view and define roles associated with a specific competency
    • Within the Competency Admin Screen in Admin Functions > Competency Library > Competency, if you are creating a new competency or editing an existing one, there will be a new Role Mapping tab with two sections
      • Map Competency to Competency Role
        • Automatically displays the roles and expected proficiencies that are associated to the competency
        • Has the Show All and Show Selections buttons to view all roles to allow users to mass map the competency and select expected proficiencies
      • Competency Role Filter
        • Allows user to search for specific competency role and once applied returns the role in the Map Competency to Competency Role section to define the expected proficiency

    Refresher Enhancement

    • Competencies can now be set up to have additional refresher functionality
      • Previously was tick box within Step 1.2 Competency Detail, transitioning to hidden functionality only visible when Expiration Period is ticked in Step 1.3 of Admin Competency details
        • Once selected, two refresher options are enabled in the Rating Element tab
          • Standard Assessment tick box: denotes a rating element is part of the initial assessment
          • Refresher tick box: denotes a rating element is part of the refresher assessment
        • These characteristics will translate on the assessment page with symbols denoting which rating elements are refreshers
        • Once the initial assessment expires and a refresher is assessed, only the refresher rating elements will be actionable
          • Rating elements that are not applicable to the current stage (standard versus refresher) will be “muted” with a gray appearance
            • On initial assessment, Required refresher-only rating elements will be grayed out
          • Refresher Validity Period: a client setting defining how long all refreshers are valid before requiring users to reassess on original competency requirements
            • Admin Functions > Settings > Features
          • Competencies will only show expirations for those that have been deemed competent
          • Users will receive an in-system notification on expiration date for the refresher competency
          • Imports and Exports created to handle refresher data

    Assessment Attachment Import

    • Process allowing mass attachment update for completed user assessments, similar to user profile picture import
      • SFTP structure will include assessmentattachments folder where evidence/attachments will be uploaded to
      • Files will require to have the following format: XYZ
        • DATE: YYYYMMDD
        • FILENAME: Desired evidence/attachment name that will appear in the front end of the system
      • NOTE: Imports will be deltas and will record import information in the Importer > History tab

    Miscellaneous Updates

    • Leveraged competency role data and user history to provide more defined and comprehensive development plans
      • A user will be able to see current vs. expected details for competencies
      • A user will be able to view expectation levels based on roles/requirement blocks
      • Implemented logic to ensure competencies are not duplicated nor added if already competent
    • Updated learning driven competencies status logic
      • Learning driven competencies with at least one learning item in the In Progress state now triggers a pending status
    • Leveraging import/export to update objects
      • Learning Resource Import/Export includes Status column to inactive or active objects
      • Competency Role Import/Export includes Status column to inactive or active objects
      • User Learning Resource Import/Export includes Update Type to denote adding or removing historical assessments
    • Reporting filters have been updated to utilize the user filter component – filters similar to team matrix – for all user-based reports
    • User Self Service additional enhancements to allow users to add and edit user attributes from the business card view
      • The editable attributes are: Job, Location, Org, and Custom Fields
      • Note: the proper security settings must be set in order to have this functionality
    • Mobile Setting interface updated
    • Company Analytic Settings updated to denote which are piped analytics
    • Select Assessor functionality has been updated with more intuitive visualization on the assessment form, in addition to routing notifications solely to the selected assessor
      • If no assessor is selected, user will receive notification to confirm
        • NOTE: If this is confirmed, all assessors will be notified and able to assess
