New Enhancements

Competency Distribution Planning

·       Objectives and Example Use Cases

  • Provides alternative planning module that focuses on competency
  • Track and manage target proficiency distributions for each competency
  • Evaluate current talent pipeline against target distributions
  • Develop and assign actions based on categories such as (Retention, Talent Acquisition, Development, or Reskill)
  • Track and manage action status including ability to report current state and historical trends (actions added and completed over time)
  • Provide platform for notifications and reminders for actions

·       How to Enable

  • Company Settings (Admin Functions > Configuration > Settings)
    • Notification Tab includes 2 new notifications
      • New Skill Plan Action Item Assigned
      • Skill Plan Action Item Completed
    • Security Role Settings (Admin Functions > Security > Security Role)
      • Under Administration Tab, Competency Planning has View, Add, Edit, and Delete settings

·       How to Use

  • Left-Hand Navigation has Planning grouping which includes Competency Planning
  • From Competency Planning page, table view will display any created plans
  • Page Actions Menu allows creation or deletion of plan

o   Create New Plan

  • After selecting Create New Plan from Page Actions Menu, page broken down into two steps, Details and Manage Categories
  • Details
    • Name - Add name of Plan
    • Description - Add description for plan
    • Owner - search for active user in system to designate owner
    • Planning Period - Define start and end date to plan
    • Color Palette - Select one of six default color schemes for visualization output
    • Select Competencies - Clicking on button will expand to display the competency tree view with search capability.
      • Search for any of the competency attributes to filter the tree structure
      • Expand group nodes to display competency objects
      • Select checkbox of competencies to include
      • Once all competencies selected, click Complete Selection button
      • Now all selected competencies will display with each proficiency level where you define the target (number of users who meet this level)
      • Once a target has been defined for each proficiency level of all selected competencies, you can hit preview button to see example of output based on selected competencies, targets, and Color Palette selected and adjust as necessary.
      • Once satisfied with selections click Next button
    • Manage Categories
      • Four Default categories provided for selection:
        • Retention
        • Talent Acquisition
        • Development
        • Reskill
      • Ability to create custom category
        • Select checkbox and textbox will appear to Name and Add new category object
      • Once categories have been selected/created, click save button to complete.

o   View Skill Plan

  • On the table view, clicking the green information button will launch the Skill Plan
  • Slide over displays the distribution of each competency per proficiency level, indicating the selected target per proficiency level and what percentage of that target has been met.
  • This page also displays the selected categories as different columns, each with a ‘+’ icon to add new action
  • Add New Action:
    • Select add icon, and Add Action popup will display with several fields
      • Owner - search for system user to define as action owner
      • Due - Define due date for action
      • Competency - select related competency from list
      • Description - free text field to describe action
      • Add button - click to create new action (Cancel to exit)
    • Once action has been added, it will appear as a card underneath the category.
  • Update Action:
    • To make updates to an action, click on the Action card
    • Four icons will display
      • Update (pencil) - selecting this option will open the action popup, allowing you to edit owner, due date, competency, or description, and allows you to set the status by selecting New, In Progress, or Complete.
      • Remove (‘X’) - selecting this option will remove the created action
      • View Comments (eye) - selecting this option will open popup of all comments entered
      • Add Comments (comment box) - selecting this option will open comment box to include new comments
    • Actions cards can be click-and-dragged between different categories
    • As action cards are updated/completed an appropriate notification will be sent to the defined owner of the action

Custom URLs

·       Objectives

  • This enhancement will provide the foundation to enriching the integration capabilities of the system by allowing the creation of Custom URLs based on Kahuna parameters, allowing organizations who have integrations to seamlessly provide passthrough based on specific user/competency/competency role parameters.
  • Provide framework to create custom links
  • Provide capability to launch external URLs
  • Ability to set parameters as part of URL construct

·       Example Use Case

  • Customer X would like ability to trigger a process from Assignment Matrix into External system with ability to deep link directly into that External system.

·       How to Enable

  • Security Role Settings (Admin Functions > Security > Security Roles)
    • Administration Tab under Configuration grouping has a View, Add, Edit, and Delete checkbox for Custom URLs. Enabling these settings will give you access to the Custom URL navigation page and the ability to create, update and delete the Custom URLs.
    • My Team Tab has a View setting for Custom URLs which is used to give visibility into any created URL launch point buttons. This setting will be used to control who has access to launch the Custom URL

·       How to Use

  • Access the Custom URLs page (Admin Functions > Configuration > Custom URLs)
  • Page separated into two sections, top half used to create URL and the bottom displays the created URLs
  • Create URL
    • Link Name - This will the name on the launch button
    • Tooltip - define the text that displays on hover-text
    • Launching Point - Choose one of three pre-defined launching points for URL button, and based on the selection, there will be available dynamic parameters
      • Assignment Matrix Popup - SkillID, UserID, Username
      • Competency Details - SkillID
      • Competency Role - SkillRoleID
    • URL Construct - Here you can define the URL and include any available dynamic parameters. Validate button will determine if syntax is appropriate and if parameters used appropriately. It will also allow for any secondary parameters when available
    • Preview button (eye) - selecting this button will display a slide over preview of launching point to visualize how URL launch button will display.
    • Add Link - button will create new Custom URL
  • Editing URL is accomplished by clicking the edit button on the table view. This will move all the data back into the top half and the Add Link button will display as Edit Link.
  • Viewing / Launching URL - As long as security Role setting under My Team is enabled, any user with access to Launch point will be able to see the created Custom URL launch button

 

Hidden Optional Rating Elements

·       Objectives

  • With more organizations making use of ‘global competencies’, the use of optional vs required rating elements to define the requirement based on the user’s role has the potential to create an extremely busy assessment form for the end user. With every group of users that have distinct requirements as part of the same competency, the more rating elements that will appear. To the end user, some of the data may not be relevant and could create a less than optimal experience. This enhancement gives organizations the ability to define which proficiency scales should hide/display optional rating elements on the assessment form

·       Example Use Case

  • Customer X has technicians in Locations A & B with slight variations in required rating elements. Requires ability to only show those rating elements relevant to the specific technician.

·       How to Enable

  • When editing a proficiency scale (Admin Functions > Configuration > Scales > Proficiency Scales) there is a new setting - Hide Optional Rating Elements.

·       How to Use

  • With the setting enabled, any competency assessment form will only display the required rating elements considering the user’s current expectation and role requirements.

Experience Workflow Override

·       Objectives

  • For organizations making use of the experience functionality, the experience workflow would have to follow the defined assessment workflow. Knowing that this would not work for all organizations, an update was made to define the workflow at the Experience scale level.

·       Example Use Case

  • Customer X has defined 2 step assessment process (self-assessment plus assessor assessment). Same customer would like to purely track experience as user only process.

·       How to Enable

  • When creating or editing an Experience Scale (Admin Functions > Configuration > Scales > Experience Scales), there is a new dropdown selection criterion for Experience Workflow with three available options:
    • User Only - This option will allow user’s experience form decision to update watermark
    • Assessor Only - This option does not include any action from the user, the assessor fills out the experience form
    • User Action, Assessor Validate - This option follows two-step workflow where user submits first and then assessor completes the experience form.
    • If no option is selected, the Experience scale will use the configured assessment workflow as a default.

 

Reporting

·       Report Generator Competency Filter

  • Competency filter has been included as part of Report Generator to improve report filtering capabilities, allowing combination of user and competency filters to further narrow down data sets.

·       User Assessment Snapshot report

  • New report added to give visibility into the user’s progress on a competency. Report considers the different rating element types and displays a snapshot percentage for the competency. This allows report to display data for not assessed competencies if different activities which drive completion of rating elements have been completed.
  • Security Role Setting (Admin Functions > Security > Security Roles) to enable report

 

Web Service (API) updates

·       Objectives

  • Now providing several standard Web Service calls to keep your competency catalog in synch as well as ability to publish user’s assessment status and or proficiency to external systems. Kahuna Web Service Documentation can be found here.

·       How to Enable

  • Company Setting (Admin Functions > Configuration > Settings) Under the Features tab, there is a setting for Enable Web Service. This setting is the prerequisite to allow web service calls.
  • Security Role Setting (Admin Functions > Security > Security Roles) Under the Administration tab, there will be View, Add, Edit, and Delete settings for Web Service. These settings enable navigation and setup of Web Service for the Security Role.

·       How to Use

  • Once both the company and security role settings have been enabled, the Left-Hand Navigation grouping for Web Service will have two destinations:
    • Web Service Portal - Once the service has been set up, this page will display the calls made to the service and track process times and success/failure messages. Details for every web service transaction are displayed in the Import History table (Admin Functions > Database > Import)
    • Web Service Settings - This page is used to set up the service calls. From this screen, an API key is generated, this key will be used when making calls to the service. There is also a link to Service Documentation within page.
      • When creating an API key there is the additional ability to setup mapping overrides. Certain calls (User related associations) are typically defaulting to the Username attribute, there is the ability to choose an alternate key.

 

·       POST Calls

o   Employee Core:

  • Maintain Job Structure- Web Service call to Add or Remove Job Structure objects such as Job Function, Job Family, and Job
  • Maintain Locations- Web Service call to Add or Remove Locations
  • Maintain Organization- Web Service call to Add or Remove Organizations
  • Maintain User- Web Service call to Add or Update user record

o   Competency Catalog:

  • Maintain Competencies- Web Service call to Add or Remove Competency data. May specify expiration, assessment method, and other competency attributes.
  • Maintain Competency Roles- Web Service call to Add or Remove Competency Roles
  • Maintain Competency Groups- Web Service call to Add or Remove Competency Groups and its respective scale

o   Learning Catalog

  • Maintain Learning Resources- Web Service call to Add or Remove Learning Resources
  • Maintain Learning Driven Rating Elements- Web Service call to Add Learning Resource Driven relationships to Rating Elements. Relationships can be All, Any, or Threshold.

o   User Competency Profile

  • Maintain User Competency Roles- Web Service call to Add or Remove Competency Roles to/from a user
  • Maintain User Learning Resources- Web Service call to Add or Remove learning resource historical record to/from a user

·       GET Calls

  • Gets Service Transaction Detail by ID- Web Service call to return transaction details
